Email Upgrade to Office 365

The Office of Information Technology (OIT) is upgrading UTSA's e-mail system over the fall semester. Our current e-mail environment will be transitioned to Microsoft Exchange Online as part of Office 365 in the cloud. With this move, faculty and staff will receive a significant increase in mailbox storage to 25GB per user, as well as an upgraded webmail client which will provide a richer, client-like atmosphere across a larger selection of web browsers.

The first groups of test users were migrated during the month of August and the rest of campus will be migrated between October and December.  Below is information for accessing your UTSA e-mail after your mailbox has been migrated. 
  

Outlook Web Access (webmail)
After your mailbox has moved, your webmail experience will be enhanced with the new Office 365 Webmail.
   
E-mail Programs 
If you are running a supported e-mail program, that program should automatically locate your new e-mail mailbox.  You will be prompted the first time you access your account and the message you will get will vary depending on if you are a Mac or Windows user.
 
 
Mac Users: 
When your mailbox is moved, it will no longer be accessible through either Entourage 2004 or 2008. We are finalizing arrangements to ensure that Outlook 2011 for Mac OS X is available on your Mac before the change occurs so that you can follow simple instructions to begin using it to access your @utsa.edu mail, calendars, and contacts immediately upon migration of your account.  We do have a site license for this software product so there will be no charge for the update.​ Another important benefit of the upgrade is that you'll now be able to use a much improved version of the Outlook Web Access client​ when you visit http://email.utsa.edu. Instructions for setting up Apple software, Outlook 2011 (either through ugprade from Entourage or through initial configuration of your account), and iOS Devices (iPhone, iPad, iPod) have already been made available at Macintosh Users.
 
    
Windows Users: 
Both Outlook 2007 and Outlook 2010 should automatically locate your new mailbox. When your mailbox move is complete, Outlook will display a message notifying you to close and restart Outlook. After you restart, you may be prompted to confirm your password. Your mailbox will be in its new location and you can continue working as normal.
 
  
If you are running an older version of Outlook or Entourage, you are encouraged to contact OITConnect as soon as possible to request an upgrade. Upgrading your e-mail client software prior to your e-mail mailbox being upgraded will make the transition to the new system much easier.

Mobile Devices
Mobile devices will need to be reconfigured to connect to your new mailbox location.  Below are links to PDFs that will step you through configuring your device:
Blackberry Devices must be reconfigured by OITConnect.  Please bring your Blackberry device to the second floor of the Physical Plant Building, or call extension 5555.

IMAP Clients
There are many, many IMAP clients available so unfortunately we can not provide detailed screen shots and instructions for all of them.  However, most IMAP users are familiar enough with their software so that they only need the host names for configuring the application.  Those host names and IP addresses are included in the PDF document below:
